These Terms and Conditions describe your use of the RaceLabs website, sorting service and gallery technology operated by RaceLabs (“we”, “us”), an independent self-employed provider. Public photographer stores, authenticated participant galleries and the desktop sorting app have different access and purchase arrangements, explained below. Please also read our Privacy Policy.
1. The service
RaceLabs provides technology for photographers to group event photos and video, review the results and prepare their delivery. Photographers can export local folders or upload and publish finished files to a connected store.
- Photographer stores: branded websites where visitors can browse published events and available photo or video offers. The photographer supplies the content and defines the event's offer.
- Participant galleries: organiser-run athletics galleries that use registration details to verify access. The event's photographers provide the images.
- Desktop sorting: an account-based service for photographers, separate from a participant's gallery access or store purchase.
2. Ownership and intellectual property
All photographs, video and other content displayed are protected by copyright and remain the property of their respective photographers or rights holders. The RaceLabs name, logo and website are our property. Nothing in these Terms transfers any ownership to you.
3. Permitted use
- You may browse published previews in public photographer stores. Purchase and use of the files are subject to the photographer's offer and licence terms.
- In authenticated participant galleries, use your own registration details and access only the photographs made available to you, for your own personal, non-commercial use.
- You must not attempt to access another person's restricted gallery, circumvent access checks, or use automated means to scrape or bulk-download content without authorisation.
- You must not resell, sublicense, commercially exploit or publicly redistribute the photographs without the rights holder's written permission.
4. Accessing your photos
Public photographer stores allow browsing of published events. Follow the store's instructions to buy or download the files included in its offer.
Authenticated athletics galleries use the access method shown on the event page. Bib-based events ask for your bib number and either date of birth or email, as configured by the organiser. Events without bib-based access can use email and date of birth to show the relevant session's photographs. This does not mean every photograph shown contains only you.
Personal face search is optional. Where available, you can enable it using the consent control or choose the optional selfie search inside the gallery. You can access the event's non-face-search gallery without enabling it. See the participant access and search explanation. Enter accurate information and keep your access links and account credentials private.
5. Purchases and separate RaceLabs offers
Buying event photos or video: photographer stores already offer paid downloads. Check the store's package descriptions, prices, download instructions and purchase terms before ordering. Contact the photographer through the store for help with an order, payment, download, refund or replacement. These event purchases are separate from RaceLabs sorting and website services.
Sorting: the first sorting event is free. See sorting prices and contact RaceLabs to confirm the applicable rate and trial scope for your volume and file mix, including RAW+JPEG pairs, video or reprocessing.
Photographer websites: the base template is €500, with standard integration in less than one week. It supports full-resolution photos and videos, your photographer branding and a discreet RaceLabs footer credit. Personalised work is quoted separately. Storage is included for reasonable use; exceptional usage is charged per TB at market price.
RaceLabs takes 0% sales commission. Payment-provider fees still apply. Website setup, sorting-app usage, personalised work and exceptional storage are separate costs. See the photographer website offer or request a personalised quote.
6. Disclaimers
The service is provided “as is” and “as available”, without warranties of any kind. We do not guarantee that every photograph of a participant will be found, that the service will be uninterrupted, or that results will be error-free.
7. Limitation of liability
To the extent permitted by law, RaceLabs is not liable for indirect or consequential damages arising from the use of, or inability to use, the service. Nothing in these Terms limits liability that cannot be limited under applicable law.
8. Changes
We may update these Terms. The current version is always available at this page, with the date of the latest update shown above.
9. Governing law
These Terms are governed by the laws of Spain, and any dispute will be subject to the competent courts of Barcelona, without prejudice to any mandatory consumer-protection rights.
